Accounts Officer

Reporting to Senior Accountant, the Accounting Officer will be responsible for the following key areas and ensuring compliance with relevant regulatory requirements, accounting standards and procedures.

More specifically, the duties and responsibilities of the Accounts Officer include the following:
a) Invoicing/ Billing (Patient Services) and manage A/R
b) Preparing and maintaining income and expenditure statements and financial records/reports/billings and invoicing for relevant projects.
c) Handling of donation-related matters including but not limited to tax-deductible receipts, thank-you letters, refunds, termination request, queries and complaints, liaising with third party fundraiser, fundraising permits, audit and reporting requirements
d) Verifying claims and preparation of payment vouchers/ cheques/ bank transfer
e) Weekly finance reports to Senior Accountants, including monthly variances from Budget or Prior Year comparisons
f) Filing and answering of phone calls
g) Any other duties as assigned

Requirements
a) Minimum Diploma with at least 2-3 years’ experience
b) The candidate should have excellent inter-personal skills and enjoy meeting people and dealing with the public. An ability to negotiate and manage stakeholders including suppliers will be very helpful as we need to be accountable across all areas of our operations.

Fundraising Executive

Reporting to the Department Head, the Fundraising Executive will be responsible for the following key areas and ensuring compliance with relevant regulatory requirements, accounting standards and procedures.

More specifically, the duties and responsibilities of the Events Ambassador include the following:
a) Review existing fundraising strategy and create new opportunities with focus into Corporates and Foundations
b) Produce effective and relevant presentations to promote the fundraising needs to the various stakeholders
c) Assessing and responding to immediate short-term fundraising opportunities as they arise
d) Maintaining and growing the current supporter base, including identifying new opportunities and creating and implementing creative and effective plans to acquire new supporters
e) Providing good stewardship and engaging, appropriate, regular communications designed to:
    1) Encourage supporters to donate or fundraise
    2) Encourage donors/regular givers to increase their giving
    3) Retain existing regular donors and major donors
f) Implement these through a range of channels (e.g. email, website, social media, direct marketing, PR)
g) Ensure that all fundraising communications activity meets current data protection requirements
h) Research potential funders and write appropriate and engaging proposals
i) Produce fundraising support materials as needed
j) Develop the database, ensure it is kept updated, and use it to analyse income and maximise effectiveness of fundraising through communications and appeals targeted to specific segments
k) Implement the current fundraising strategy/plan and develop/ implement the next one
l) Encourage all members of the team to take part in fundraising activities, coordinate their involvement and provide support as appropriate, including help in providing key messages and materials and managing deadlines

Requirements
a) Diploma/Degree holder with at least 3-4 years of relevant experience
b) Adequate knowledge of current trends, resources and information related to fundraising
c) Effective communication: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques
d) Creativity/innovation: Develop new and unique ways to improve operations of the organization and to create new opportunities

Volunteer Management Executive

Reporting to the Department Head, the Volunteer Management Executive will be responsible for the following key areas and ensuring compliance with relevant regulatory requirements, accounting standards and procedures.

More specifically, the duties and responsibilities of the Events Ambassador include the following:

Plan the volunteer programme/service
a) Develop and implement goals and objectives for the volunteer programme which reflect the mission of the organisation
b) Assess the need for volunteers to enhance programme/service delivery
c) Develop a budget for the volunteer programme activities
d) Conduct ongoing evaluation of the programmes and services delivered by volunteers and implement improvements as necessary
e) Develop, administer, and review policies and procedures which guide the volunteer programme and services, and reflect the overall values of the organisation
f) Identify volunteer assisgnments that provide meaningful work for volunteers and write the volunteer position descriptions in consultation with staff as appropriate

Engage volunteers
a) Promote the volunteer programme to gain community support of the volunteer programme and the organisation
b) Develop and implement effective strategies to recruit the right volunteers with the right skills
c) Implement a screening process for potential volunteers according to accepted screening standards and practices

Lead the volunteer programme/service
a) Train staff to work effectively and cooperatively with volunteers
b) Orient volunteers to increase their understanding of the organisation, its clients, its services and the role and responsibilities of volunteers
c) Ensure that volunteers are given appropriate training to be successful in their positions and that volunteers receive the appropriate level of supervision
d) Establish and implement a process for evaluating the contribution of individual volunteers

Manage the volunteer programme/service
a) Evaluate the risks associated with each volunteer position and take appropriate action to control the risks associated with the programme or service
b) Ensure that volunteers work in a safe, healthy, and supportive environment in accordance wth all appropriate legislation and regulations
c) Evaluate the contribution of each volunteer on an annual basis
d) Prepare an annual report on the contribution of the volunteer programme to the organisation
e) Administer and monitor expenditures for the volunteer programme against the aproved budget

Requirements
